Administrative Coordinator
Position Summary: The Administrative Coordinator will provide critical support for an organization positioning itself for growth. This is a part-time position that reports to the Executive Director. The Administrative Coordinator plays a vital role in ensuring the smooth operation of our nonprofit organization. The ideal candidate will have outstanding organizational, administrative, and communications skills and thrive in a multi-tasking role.They will exhibit flexibility and patience, and take pride in contributing to the excellence and professionalism of the organization.
About the Organization: Congo Initiative USA (CI-USA) is a 501(c)3 nonprofit organization inspired by faith and whose mission is to promote higher education, leadership formation, and community transformation in the Democratic Republic of Congo (DRC). At the heart of CI’s work is our core catalyst of change – Université Chrétienne Bilingue du Congo (UCBC) – located in Beni, DRC. Launched in 2007, UCBC is a four-year university equipping changemakers and modeling transformation by holistically renewing communities and promoting systemic justice.
CI-USA focuses primarily on partnership development, fundraising, and marketing efforts in the United States to support the educational and community development programs led by UCBC. As we celebrate the milestone of 1,000 UCBC alumni, we are poised for growth and seek a passionate and skilled administrative professional to join our team.
Job Category: Part-Time (20 hours per week)
Compensation: $23/hour

Health Allowance: Cl-USA provides you with a health allowance under the Qualified Small Employer Health Reimbursement Arrangement (QSEHRA) regulations. The Cl-USA allowance functions as a reimbursement to you for any qualified out-of-pocket medical expenses, including health insurance premiums, up to specific IRS-approved limits, depending on whether you have single or family coverage. This benefit is effective on your first day of employment.
Vacation Leave: After three months of employment, you will be eligible for 15 days of vacation leave annually. Vacation leave does not carry over from one year to the next, and therefore must all be used within a given calendar year. An increase in vacation time will be considered after four years of employment.
Sick Leave: You will receive 10 days of sick leave effective with your first day of employment, and then seven additional days every January 1. Sick leave can accrue from one year to the next, up to a maximum of 90 days.
Retirement Benefits: After you have completed one year of employment, Cl-USA will contribute 3% of your gross earnings to a Simplified Employee Pension (SEP) IRA retirement account in your name.
JOB RESPONSIBILITIES
Hours attributed to each area below are estimates only.
Accounting and Finance
- Process bank deposits and manage bank account
- Ensure timely entry of all gifts and constituent record updates in donor database
- Maintain prompt gift receipting and coordinate donor acknowledgement processes
- Coordinate renewals of recurring donor credit card information
- Receive funding requests from staff and prepare expense authorizations for approval
- Compile financial statements and reports and submit to accountants
Communications and General Operations Support
- Function as the organization’s database administrator, maintaining accurate and complete information for all donor constituent records and running reports as needed for communication and fundraising purposes
- Maintain organization’s files (google drive)
- Manage incoming and outgoing mail via virtual mail service and general email communications
- Manage and keep up-to-date CI related calendars, including travel and events
- Prepare meeting materials, reports, and minutes for staff meetings
- Provide logistical support and coordination of events, meetings, and travel, including logistics, participant communication, coordination with vendors, itinerary planning, and on-site support when applicable
- Assist with preparing materials for events and board meetings
- Coordinate travel arrangements for staff and international retreats
- Represent CI to the general public, including donors, service providers, and other organizations.
- Provide support to the team as needed, including research, special projects, and other duties as assigned.
Fundraising Support
Provide support for fundraising initiatives including, but not limited to, the following:
- Maintain major donor records in the database (Bloomerang)
- Prepare regular gift activity reports as assigned
- Provide administrative support to major donor strategy meetings including meeting preparation, taking notes, providing summary reports
- Prepare letters and other collateral materials as needed to support donor stewardship and communication
QUALIFICATIONS
- Associate’s or Bachelor’s degree in Business Administration, Nonprofit Management, or a related field preferred
- Three years of administrative or office management experience required
- Experience in nonprofit accounting, project management, and/or CRM database management preferred
- Commitment and passion for the vision, mission, and values of Congo Initiative
- Cultural humility, intelligence, and sensitivity
- Proficient in Microsoft word, excel, and powerpoint and Google workspace. Must be comfortable making reports, spreadsheets, and powerpoints
- Extremely attentive to detail and highly organized
- Excellent writing and editing skills
- Ability to work independently and as part of a team
- Proficient and clear communicator
- High level of professionalism and discretion
- Self-motivated and self-directed
- Ability to travel once a year for board retreat
